Who we are

This policy describes the personal information The Wright Books Limited collects through wright-books.com, how it is used, how long it is kept, and the rights you have over it. It is a binding agreement between you and The Wright Books Limited. If you do not agree with it, please do not use the website.

Information collected automatically

When you open the website, our hosting provider automatically records technical information your browser sends. This may include your IP address, browser type and version, operating system, language preferences, the pages you visit and how long you spend on them, and the times and dates of access.

This information is used only to keep the site running securely and to identify potential abuse. It is not used to build a profile of you, and the site runs no advertising trackers of any kind. Page views are counted in aggregate, as described under Cookies below.

Information you give us

When you send an enquiry through the contact form, we collect the information you enter so we can reply to you. That is your name, your email address, your phone number if you choose to give one, and whatever you write in the message.

If you go on to become a client, we collect the further information necessary to negotiate, draft and carry out our engagement, which may include details about your business.

How your enquiry is handled

Enquiries submitted through this website are delivered by email using Resend, a transactional email service, and arrive in the business inbox at hello@wright-books.com. A copy is also received by Charged Studio, who built and maintain this website, so that delivery problems can be identified and fixed. Charged Studio does not use your information for any other purpose.

The website itself is hosted by Vercel. Vercel processes the technical information described above in order to serve the site and protect it from abuse.

Booking an appointment

The contact page includes a booking calendar provided by Microsoft Bookings. If you book a consultation through it, you give your name, email address and any details you add about the appointment directly to Microsoft, who process that booking on our behalf and place it in our calendar.

The calendar is an embedded page from Microsoft and may set cookies when it loads. If you would rather not use it, the enquiry form and the phone number on the same page reach us just as well.

Maps

The Exeter office page and the about page include an embedded Google Map showing where the office is. When that map loads, Google may set cookies and receive your IP address. This happens only on those two pages, and only when the map comes into view.

Cookies

This website does not set any cookies of its own. It runs no advertising and does not track you from one website to another.

We do count page views, using a service called Vercel Web Analytics. It sets no cookies, records no IP addresses, and cannot identify you or recognise you on any other website. It produces totals only, such as how many people read a particular page and which website they arrived from. Because nothing is stored on your device and nothing identifies you, this needs no cookie banner and there is nothing for you to accept or decline.

The only cookies you may encounter are those set by the embedded Google Map and the Microsoft Bookings calendar described above. You can accept or decline cookies through your browser settings; most browsers accept them by default.

Legal basis for processing

We process your personal information where one of the following applies: you have given consent for a specific purpose; the processing is necessary to take steps at your request before entering into a contract, or to perform a contract with you; the processing is necessary to comply with a legal obligation, including our obligations under the Money Laundering Regulations; or the processing is necessary for our legitimate interests in operating and securing this website.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before you withdrew.

Sharing your information

We share your information only with the service providers needed to operate this website and respond to you, namely Resend for email delivery, Vercel for hosting and the page view totals described above, Microsoft for the booking calendar, and Charged Studio as our website provider. They may use it only to perform those functions for us, never for their own marketing.

We may also disclose information where we are required to by law, including where professional or anti-money-laundering obligations require it. We do not sell your information to anyone.

How long we keep it

Enquiries that do not lead to an engagement are kept only as long as needed to deal with them and to keep a record of correspondence. Where you become a client, records are kept for the period required by our professional and legal obligations, which for accountancy and anti-money-laundering purposes is generally at least six years.

Once the retention period expires, personal information is deleted.

Where your information is processed

Our service providers may process personal information outside the United Kingdom. Where that happens, the transfer is made under the safeguards required by UK data protection law, such as the UK International Data Transfer Agreement or an adequacy decision.

Your rights

Under UK data protection law you have the right to be told whether we hold information about you and to obtain a copy of it; to have inaccurate information corrected or incomplete information completed; to have information erased in certain circumstances; to restrict or object to processing in certain circumstances; to receive information you provided in a portable format; and to withdraw consent where we rely on it.

Some of these rights are limited where we are required to keep records to meet a legal or professional obligation.

Security

The site is served over an encrypted connection, and information you send through it is transmitted securely. We maintain reasonable administrative, technical and physical safeguards to protect personal information in our control.

No transmission over the internet can be guaranteed to be completely secure, and while we take protecting your information seriously, you acknowledge that we cannot guarantee the security of information in transit.

Data breaches

If we become aware that personal information has been compromised, we will take appropriate steps to investigate and to notify affected individuals where there is a risk to them, and will report the breach to the Information Commissioner's Office where required.

Children

We do not knowingly collect personal information from anyone under 18. If you believe a child has provided information through this website, please contact us so we can delete it.

This website links to resources we do not own or control, including HMRC and gov.uk. We are not responsible for their privacy practices, and we encourage you to read the privacy notice of any site you visit.

Changes to this policy

We may update this policy from time to time. When we do, the date at the foot of this page changes. Continued use of the website after an update constitutes acceptance of the revised policy. We will not use your personal information in a materially different way from that described when it was collected without telling you.
